We are currently assisting a stable and successful Swiss Management Company in Luxembourg with the recruitment of a Distribution Oversight and Due Diligence Officer .

If you are fluent in English and with a good level in German, with at least 3 years’ experience within a similar position focused on distribution oversight and due diligence within a Management Company or in a Big 4 in Luxembourg, this could be the right position for you. 

You will play a key role in onboarding distributors, conducting due diligence controls, monitoring Key Performance Indicators and overseeing distribution activities.

Your Responsibilities

The Distribution Oversight and Due Diligence Officer will work closely together with several internal departments such as sales, compliance, legal, risk and product management.

Some of the day-to-day responsibilities will be:

  • Lead the onboarding process for new distributors in coordination with sales, ensuring compliance with regulatory requirements and Company policies.
  • Manage and maintain the distribution oversight and marketing related policies, procedures, processes, SLAs and due diligence questionnaires and their periodic review to ensure the compliance with the applicable regulations and the internal processes.
  • Develop, manage, and execute the due diligence plan for the distribution delegates, marketing intermediaries and other fund service providers.
  • Perform and manage the initial and on-going due diligence process regarding distribution delegates, marketing intermediaries and other fund service providers, covering Know Your Distributor (“KYD”), Anti-Money Laundering (“AML”) and/or Know Your Customer (“KYC”) documentation in conjunction with the Compliance/ Money Laundering Reporting Officer (“MLRO”)
  • Ensure comprehensive documentation and record-keeping for all due diligence processes, including audits and reviews of distributors, marketing intermediaries, and other fund service providers.
  • Perform comprehensive risk assessments of the distribution network in line with the Company’s risk-based approach, identifying and mitigating potential risks.
  • Monitor the list of countries in which the funds are intended to be distributed.
  • Ensure marketing materials are compliant with the local marketing requirements and perform oversight on the marketing materials via reviews conducted on a regular basis.
  • Stay updated on regulatory changes, particularly in the areas of distribution and marketing, and assess their impact on the Company’s operations.
  • Prepare various reports to the senior management on distribution and due diligence activities.
  • Keep abreast of external and internal regulatory bodies local and Group-wide distribution standards and business changes; assess any potential impact for the Company.
  • Collaborate with internal departments such as sales, compliance, legal, risk and product management to ensure a seamless and coordinated approach to distribution, product governance and marketing activities.
  • Effectively engage in ESG related developments within the Company and contribute to the successful implementation of the new rules and regulations arising from the ESG related aspects in regard to distribution and marketing.
  • Carry out additional duties as assigned.

Your profile

  • Degree in Business or Law
  • You have at least 3 - 5 years working experience in a similar position in the Luxembourg investment fund industry within a Management Company/AIFM, investment firm or a Big 4
  • Good knowledge of laws and regulations, such as UCITs, AIFMD, MIFID, AML/CTF.
  • Fluent written and spoken English and a good knowledge of German required, other European languages (e.g. Italian, Spanish) are an advantage.
  • Talent in identifying and implementing process improvement opportunities.
  • Excellent business awareness and ability to offer advice and provide solutions within the business context.
  • Solution-driven and service-oriented and diplomatic approach
  • Excellent team player and able to communicate at all levels in- and outside of the company
