Legal Transaction Coordinator - Real Estate

Our client, a leading corporate services provider supporting a respected real estate investment firm, is looking for a highly organised and detail-driven Legal Transaction Coordinator to join their Legal Transactions team.
The role primarily delivers transactional support to the Real Estate Fund, coordinating with external counsel, third-party service providers, and the Fund to ensure transactions are completed efficiently, flexibly, and with certainty.

Your Responsibilities
- Assist in the set-up of acquisition and holding structures, and coordinate the sale and purchase of assets
- Support onboarding and offboarding of pan-European real estate investments
- Coordinate the signing process for transaction and related legal documents
- Organise transaction-related board meetings, prepare board packs, and draft minutes
- Arrange notarisation and apostille of documents
- Manage the transition of corporate files to compliance teams or external buyers
- Set up and manage data rooms for asset disposals, coordinating Q&A with relevant parties
- Oversee electronic document archiving and file management with internal support
- Ensure internal databases are accurately maintained and regularly updated
- Act as the key point of contact for all transaction-related matters
Your Profile
- Minimum 3 years’ experience in a legal or corporate function within a fiduciary, law firm, or in-house team in Luxembourg
- Fluent in English; additional languages such as Spanish, German or French are an advantage
- Strong written and verbal communication skills
- Familiar with MS Office tools, particularly Word and Excel
- Prior experience in real estate transactions is a plus
- Comfortable liaising with external partners including lawyers, notaries, and service providers
- Able to work independently and collaboratively as part of a team
- Proactive, detail-oriented, and organised
- Willing to embrace technology and process improvements
- A positive, can-do approach with a commitment to delivering high-quality work
