 Anderson Wise is pleased to assist an Alternative Investment Fund Manager (Luxembourg-based AIFM) in its search for an experienced Fund Administrator – AIFM Company Secretary and Fund Administration to join their Luxembourg office and support the continued growth and digital transformation of their fund operations.

Your areas of responsibility:

  • Oversee the implementation and administration of Luxembourg holding companies and fund structures, coordinating daily with external fund administrators.
  • Organise board and shareholder meetings for the Luxembourg-based AIFM, including preparing agendas, distributing board packs, and drafting minutes and resolutions.
  • Support the setup of new fund structures, including entity incorporation and bank account opening.
  • Assist with investor onboarding for new funds and investment vehicles.
  • Review and process supplier invoices through a bespoke online system, prepare banking payments, and manage supplier queries.
  • Supervise the accurate processing of fund transactions (transfers, drawdowns, dividends) within agreed deadlines.
  • Maintain statutory and investor records, ensuring timely filings with Luxembourg Business Registers and other authorities.
  • Prepare or review legal documents and coordinate legalisations, notarisations, and apostilles.
  • Respond to AML and investor information requests in coordination with external administrators.
  • Contribute to firm-wide digitalisation and process automation initiatives.
  • Support wider business transformation and cross-functional projects.

 

Your profile:

  • +4 years of experience in a similar role within a fund administration, AIFM, or private equity environment in Luxembourg.
  • University degree in law, finance, or business administration, or a relevant fund/corporate administration qualification (ICSA certificate level or equivalent).
  • Solid knowledge of private equity funds or other illiquid alternative asset classes.
  • Proven ability to develop and implement new processes and systems.
  • Excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities.
  • Experience with technology implementation and process automation is a strong advantage.
  • Entrepreneurial mindset and a collaborative approach.
  • Fluent in English (both written and spoken).
