Senior Fund Administrator

 

This is an exciting opportunity to join a growing AIFM specializing in Private Equity investments located in Kirchberg.

 

As a Senior Fund Administrator, you will perform and provide oversight over the day-to-day administration of Luxembourg fund structures and SPVs, which are mainly outsourced to an external Fund Administrator. You will also be expected to actively contribute to the ongoing strategic business transformation project and assist in implementing the digitalisation and automation of processes.

 

Your responsibilities:

 

You will:

 

  • Oversee the implementation and administration of Luxembourg holding companies and Fund structures and liaise with the external fund administrator on a daily basis.
  • Assist and oversee the external service providers with all aspects of company secretarial matters, including the preparation of agendas, collation and distribution of board packs, shareholder meetings and drafting minutes for routine meetings, board resolutions and power of attorneys.
  • Support in the setup of new fund structures, including entity incorporation and bank account opening
  • Assist in the investor onboarding process for new funds and investment vehicles
  • Process supplier invoices through an online invoice processing system; checking information and recharge rules, obtaining approval, dealing with suppliersqueries and preparing online banking payments while ensuring sufficient funds are available to settle invoices.
  • Oversee the accurate processing of instructions and within agreed deadlines with sufficient supporting documentation held on file (inter-account transfers/transfers of interest, drawdowns, dividend payments etc.).
  • Oversee the accurate maintenance of investor and company records, files and statutory documents such as the Luxembourg Business Registers, Shareholder Registers and ensure regulatory and statutory filings are completed in a timely manner.
  • Assist with the preparation/review of simple legal documents and ensure proper execution and arrange for legalisations, notarisations and apostilles.
  • Assist with external AML requests and investor queries by preparing and providing appropriate documentation in a timely and accurate manner with the help of the external fund administrator.
  • Drive forward process digitalisation and automation alongside technology experts and consultants as part of a firm-wide business transformation project
  • Supporting other firm wide projects.

Your profile:

 

  • You hold a university degree preferably in law, finance or business administration or hold or study towards a relevant fund/corporate administration qualification (preferably ICSA certificate level or equivalent)
  • 4+ years of prior experience in a similar position
  • Strong experience and knowledge of Private Equity Funds or other illiquid alternative asset classes
  • Experience in implementing new technology and systems and/or process automation
  • Entrepreneurial spirit with a proven ability to implement new processes and procedures
  • Organisational skills, ability to multi-task and attention to detail
  • Experience in another AIFM or Fund Administrator background an advantage
  • Fluent in English
