Executive Assistant LU/EN/FR/DE

 

Are you an organised and proactive assistant who enjoys working at the heart of decision-making?

 

Our client is looking for someone who communicates clearly, stays calm under pressure, and takes pride in creating structure and supporting others.

 

In this role, youll be working closely with a director of a leading governmental institution, helping to keep operations running smoothly behind the scenes at the highest level of the organisation.

 

The successful candidate will be employed as a public-sector employee (employé de lÉtat) under a permanent contract, with the possibility of obtaining civil servant status (fonctionnaire de lÉtat).

 

Your Responsibilities

  • Handle and prioritise incoming requests with discretion and efficiency.
  • Coordinate with other Executive Assistants and departments for smooth workflow.
  • Manage the Directors agenda
  • Organize and coordinate meetings and travel arrangements.
  • Prepare, proofread, and ensure high-quality communications and documents.
  • Suggest and implement improvements to recurring administrative processes.
  • Track deadlines and follow up on key actions and deliverables.
  • Act as a trusted point of contact between the Director and internal teams.

Your Profile

  • Holds a bachelors degree (Bac+3 or equivalent).
  • Fluent in Luxembourgish, French, German, and English, with excellent written and verbal communication skills.
  • Experience in a comparable role as an executive assistant, personal or team assistant, office manager or in an equivalent administration-related job.
  • Highly proficient in MS Office, Outlook etc with the ability to quickly adapt to internal systems.
  • Known for discretion, accuracy, strong attention to detail, and well-developed writing skills.
  • Demonstrates a proactive and solutions-focused mindset, with the ability to anticipate needs and take initiative.
  • Displays strong interpersonal awareness, professionalism, and the confidence to support senior stakeholders effectively.
