Do you have a proven track record of success as a Personal Assistant and/or Office Manager?
For this small office composed of less than 10 people and ideally located in the city centre, we are looking for a dynamic and enthusiastic Office Manager - Personal Assistant who will bring his/her positive energy to the office.
In this position, you will contribute to the success of the CEO and the executive team.
Our client is a well-established office where team-spirit and good atmosphere prevail.
Your Responsibilities
- Provide full administrative support to the CEO
- Coordinate and schedule meetings and appointments.
- Draft and format letters, presentations, and reports, while managing correspondence, inquiries, and phone calls.
- Arrange travel, transportation, and accommodation.
- Maintain and manage databases and filing systems, including expense collection and filing.
- Serve as the primary point of contact for staff, suppliers, and clients.
- Handle invoicing and process bank statements.
- Perform various accounting tasks.
- Ensure health and safety policy documentation remains current and compliant.
- Attend meetings and record minutes.
- Support the preparation and updating of financial and accounting reports.
- Assist with HR functions by maintaining up-to-date personnel records.
- Manage office supplies and furniture procurement.
- Perform additional administrative and operational tasks as required.
Your profile
- A bachelor's degree or equivalent qualification, ideally in an administrative field, with relevant experience in a similar role.
- Proven experience in office-based or secretarial work is essential.
- Strong proficiency in common IT tools, particularly Excel, Word, and PowerPoint.
- Fluency in English and French, along with a good command of German, is required.
- Excellent organizational skills and the ability to manage multiple tasks under tight deadlines.
- Strong communication (both oral and written) and interpersonal skills.
- Ability to work independently, with a proactive mindset and strong stress management skills.
- High attention to detail, discretion, and reliability
