Office Manager / Receptionist (English and French speaker)

For a well-established Investment firm based in Luxembourg, we are looking for an Officer Manager/Receptionist who will assist the team in a broad range of tasks.

This is a great role for a bright, confident individual who wants to provide the highest level of customer service to colleagues and external visitors, in a medium-size, friendly and fast-moving office.

Your responsibilities:

  • Manage the day-to-day running of the office
  • Point of contact for general queries and a go-to person for staff and contractors
  • Manage and oversee all office maintenance
  • Maintain relations with key service providers in the building i.e. security, engineering etc.
  • Ensure up to date with buildings H&S policies & procedures and pass on any relevant information to the team
  • Onboard new staff (Issue IT equipment desk / security pass and important documents)
  • Welcome guests by greeting them in person or on the telephone; answering or directing inquiries;
  • Act as a personal assistant, organizing complex agenda and travel arrangements among other PA duties;
  • Preparing and filing expense reports on a timely basis;
  • Schedule and plan meetings and appointments;
  • Organize documents signature and appropriate routing, scheduling couriers;
  • Keep records up to-date;
  • Take care of the daily mail and dispatch according to process; 
  • Act as office manager by checking stocks; placing and expediting orders;
  • Organize trainings for the team and keep track of the attendance for yearly report;
  • Coordinate with US/UK IT teams regarding support and equipment;
  • Assume additional responsibilities as delegated

Your profile:

  • You have from 4 years of experience working in a professional office environment as an Office Manager, Team Assistant, Personal Assistant or Receptionist
  • You are fluent in English with a very good command of French language
  • Excellent communication skills (both written and spoken)
  • Passionate about providing great customer service;
  • Proactive, autonomous and a team player;
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Attention to detail;
  • Ability to work to tight deadlines;
  • IT Software skills: advanced knowledge of Excel and Word
