Anderson Wise is happy to introduce this new opportunity to join a rapidly growing Private Equity / Venture Capital investor within a dynamic and multicultural work environment. The company opened its Luxembourg office 3 years ago and has since experienced steady growth while offering its employees a pleasant work atmosphere.


For our client, we are looking for an Administrative Assistant for a period of 9 months to cover for a maternity leave. The ideal candidate will speak fluently English and have a good level (ideally) in French and have a first experience in a similar position, including diary management.


The office is conveniently located in the city center and is easily accessible by public transport.



Your responsibilities:


  • All-around secretarial duties including but not limited to schedule and maintain calendars, manage team meeting agenda, co-ordinate schedules and calendar for travel, co-ordinate expense reporting and reimbursement
  • Reception duties when needed – answer calls, emails, and letters
  • Assist with office management expenditure, IT equipment tracking and team events organisation
  • Update and structure the SharePoint folders for tax and accounting purposes, including relocation of the existing data from London to Luxembourg and consolidation of information and data
  • Assist in the implementation of internal accounting/tax processes for systematising / standardising the filing and the approval of invoices
  • Assist to design the layout of the new office space rented by the Company in the same building at the 3rd floor so as to refurbish the office common areas for internal use of the Company


Your profile:


  • Fluent in English
  • Good French
  • Very good Microsoft Office knowledge (Excel, Word and PowerPoint)
  • At least 2 years experience in Administration as an Assistant in Luxembourg
  • Dynamic, hands-on mentality,
  • Team spirit
  • Excellent organisation skills
