Corporate Administrator - AIFM

This role is an excellent opportunity to join a dynamic, multicultural, and entrepreneurial investment firm based in Luxembourg. The successful candidate will be part of the Executives’ Investments and AIFM administration team, providing full support both to the Luxembourg and the Jersey teams by being involved in the setup of carry and co-investment structures and the day-to-day administration of the related entities as well as its own AIFM.

Your responsibilities:

  • Establish new carry and co-investment entities and ensure related regulatory/statutory applications/filings
  • Maintain statutory records and investor details
  • Organize, attend and take minutes of board meetings
  • Assist the team with transactions’ management, notably by making distribution payments, monitoring bank accounts for incoming payments, arranging for signing of carry/coinvest related documents, preparing subscription documents required by executives, etc
  • Prepare annual/tax returns for the executives
  • Run share registers/beneficiary registers
  • Organize documentation execution and filing/archiving
  • Liaise with counterparties such as lawyers, auditors, notaries, etc, where appropriate
  • In conjunction with the Manager, ensure that all activities are carried out in compliance with the legal and regulatory requirements
  • Establish and maintain close working relationships with colleagues in the corporate governance and accounting teams to provide seamless administration services across both jurisdictions
  • Participate in ad-hoc projects related with automation/digitalization

Your profile:

  • Relevant academic records, ideally in Law or a Business-related field
  • From 2 years of relevant industry experience in the Luxembourg market
  • Ideally previous exposure to regulated entities, namely management companies (AIFM)
  • Understanding of investments, funds, and associated terminology
  • Fluent in English (spoken/written)
  • Problem-solving skills
  • Ability to work to a high degree of accuracy
  • Ability to work autonomously
  • Strong organisational ability
  • Communicates effectively both verbally and in writing with all levels of staff including senior partners, as well as with external contacts (including authorities) when required 
  • A good team player with a positive attitude
  • Focuses on delivering results, meeting expectations and deadlines
