Office Manager / HR Administrator

Our client is a global alternative investments fund manager focusing exclusively on Private Equity.

There is a small growing team in Luxembourg, which deals with investments across the globe. Their offices are ideally located in the city center and offer a parking space. The work environment is international, friendly, dynamic and flexible.

Your Responsibilities

  • Arranging and managing meetings
    • Keep abreast of any diary changes
    • General management of meeting rooms
    • Arrange and schedule internal and external meetings
    • Collate and distribute documents prior to meetings
  • Travel Management
    • Arrange all aspects of travel including car transfers, flights and hotel bookings
    • Create comprehensive travel packs
    • Assist with travel for non-staff members as and when required (e.g. Independent Directors)
    • Arrange for visas as and other travel related documents when required
  • Human Resources
    • Sympass - registration and follow-up with the service provider
    • Lunch vouchers - registration and follow-up with the service provider
    • On-boarding of new employees and organize departure of leavers (IT, access card, etc.)
    • Maintain register of employees up to date
    • Deal with the Occupational Medicine
    • Work in close cooperation with the General manager on all the human resources aspects (salaries, bonus, interests’ subventions, advantages in kind, contracts, evaluation reviews etc…
    • Give a general support to the General Manager on the administrative tasks
  • Organization of the Board meetings in collaboration with the Corporate Officers
  • Implement and maintain an efficient filing system
  • Liaising with our IT department in case of IT issues
  • Keep the Business Continuity Plan up to date
  • Keep a listing of the entities up to date

Your profile

  • Previous experience as office manager, secretary, PA/EA or in an administrative role
  • Previous experience assisting with HR administration
  • Fluent in English and French
  • Ability to treat issues with confidentiality, discretion and professionalism
  • Strong organization skills
  • Pro-active, efficient and flexible
  • Usual proficiency with Microsoft Office
